How long does it take to set up Simplifi?

Most teams are up and running with their first event budget within 30 minutes. The guided intake wizard walks you through setup step by step. If you're migrating existing event budgets, our team can assist with the data import as part of onboarding.
Do I need to involve IT to get started?
+
Not for Starter or Professional. Both plans are cloud-based and require no installation. Enterprise customers using SSO or ERP integrations will typically involve IT for configuration, but the core product is operational from day one without any technical setup.
Can I import existing budget data from spreadsheets?
+
Yes. Simplifi supports CSV import for budget lines and expense data. If your existing spreadsheets follow a consistent structure, the import process is straightforward. For more complex migrations, our support team can guide you through the mapping.
How do I invite my team?

From your account settings, you can invite team members by email and assign them a role — Event Manager, Finance Reviewer, or Executive. They’ll receive a setup link and can be active within minutes.
Is training or onboarding included?

Starter and Professional include self-serve onboarding documentation and video guides. Enterprise includes a dedicated onboarding session with a Customer Success Manager, tailored to your team’s workflow and approval structure.
Budgets & Planning
What templates are available?
+
The template library includes pre-built structures for Sales Kickoffs, Annual Conferences, Product Launches, Executive Summits, Roadshows, Trade Shows, and Internal Events. Each template comes with suggested budget categories and default line items that you can adjust. Enterprise customers can create and enforce custom templates across their organization.
Can I customize budget categories?

Yes on Professional and Enterprise. You can create custom budget categories and sub-categories, rename existing ones, and set category-specific variance alert thresholds. Starter uses the standard category set from the template library.
How does budget versioning work?
+
Every time a budget is edited and saved, Simplifi creates a versioned snapshot. You can view the full change history, compare any two versions side by side, and restore a previous version if needed. All versions are timestamped with the editor’s name.
Can multiple people edit a budget at the same time?
+
Budgets support collaborative editing with role-based permissions. Event Managers can edit; Finance Reviewers have view and approval access by default. Simultaneous editing uses last-write-wins with a conflict notification — we recommend assigning a primary budget owner per event.
Can I track strategic goals alongside the budget?

Yes. During intake, you can attach strategic goals to each event — leads generated, pipeline value, expected attendees, or closed revenue targets. These goals carry through to the ROI reporting view once the event closes, letting you measure financial performance against business outcomes.
Tracking & Expenses
How do expenses get into Simplifi?
+
Three ways: (1) Manual entry directly into the expense log, (2) Receipt upload — Simplifi extracts vendor, amount, date, and category automatically, and (3) Batch CSV import for bulk expense entry. All methods produce the same structured expense record matched to the right event and budget line.
Does Simplifi support multiple currencies?
+
Yes, on Professional and Enterprise. You can set a base currency per event and log expenses in any currency. Simplifi converts to the event’s base currency using the rate at the time of entry, and stores both values for transparency. Exchange rates are sourced from standard market feeds.
How do variance alerts work?
+
You set variance thresholds per budget category — for example, an alert when Marketing spend exceeds 10% over budget. When a threshold is crossed, the relevant team members are notified, and the category is flagged in the dashboard. Additional spend in a flagged category may require a new approval depending on your DOA policy.
Can I log labor costs and staff time?

Yes. The timesheet module lets team members log weekly hours against events. Once approved by a manager, hours are converted to expenses using configured labor rates and posted to the event’s budget automatically — keeping labor costs visible alongside vendor spend.
Approvals & Compliance
How do approval workflows get configured?
+
Finance administrators define Delegation of Authority (DOA) policies that determine who approves what. Policies are set by budget amount thresholds and/or event category. For example: budgets under $50K require Finance Director approval; over $50K also require VP Operations; over $150K also require CFO. Once configured, routing is automatic.
What is a "magic link" approval?
+
When an approval is required, Simplifi sends the designated approver an email containing a secure one-time link. The approver can review the budget summary and approve or reject directly from that email — without needing to log into Simplifi. This removes login friction while maintaining a full audit record of every decision.
What happens if an approver is unavailable?
+
Finance administrators can configure delegate approvers for each role. If the primary approver hasn’t acted within a set time window, the request is automatically escalated to their delegate. Administrators can also manually reassign a pending approval without losing the audit history.
What does the audit trail capture?
+
Every action in Simplifi is timestamped and attributed to a named user: budget creation, edits, version changes, approval requests, approvals and rejections with comments, expense entries, and reconciliation submissions. The audit log is locked — records cannot be deleted or altered. It can be exported for compliance review at any time.
Is Simplifi audit-ready by default?
+
Yes. The audit trail, locked reconciliation records, and approval history are designed to support financial audits from day one. Enterprise customers can generate compliance-formatted exports. Several customers have reported reducing audit preparation time from weeks to hours after switching from spreadsheet-based processes.
Reporting
What reporting is available out of the box?
+
Every plan includes event-level budget vs actual reports, variance summaries, and expense breakdowns by category. Professional and Enterprise add the portfolio dashboard — a cross-event view showing total allocated vs spent, cost-per-attendee, ROI by event, vendor concentration, and budget utilization trends by quarter.
Can I create custom reports?

Standard reports cover the most common views. Enterprise customers can request custom report templates configured to their specific fields, time ranges, and output format. All plans support CSV and PDF export of any existing report.
How is ROI calculated?
+
ROI is calculated from the strategic goals you attach to each event at intake — leads generated, pipeline value, and closed revenue — measured against total event spend. You input the actuals after the event closes, and Simplifi produces the ROI summary automatically. Calculation methodology can be configured per organization on Enterprise.
Can leadership access reports without a full account?

Yes. Executive users can be given read-only access to the portfolio dashboard and individual event reports without the ability to edit budgets or expenses. Alternatively, scheduled report exports can be configured to send PDF summaries to stakeholders by email on a weekly or monthly cadence.
Pricing & Plans
Is there a free trial?

Can I switch plans at any time?
+
Yes. Upgrades take effect immediately and are prorated for the billing period. Downgrades apply at the start of your next billing cycle. There’s no penalty for changing plans.
What happens to my data if I cancel?
+
Your data remains accessible in read-only mode for 90 days after cancellation. You can export all budgets, expense records, and audit logs during that window. After 90 days, data is permanently deleted in accordance with our privacy policy.
Do you offer nonprofit or education pricing?

Yes. We offer discounted pricing for verified nonprofit organizations and educational institutions. Contact us at Budget@Simplifi.events with details about your organization and we’ll share the applicable pricing.
Integrations & Security
Does Simplifi integrate with accounting or ERP systems?
+
ERP and accounting integrations (such as NetSuite, SAP, and QuickBooks) are available on Enterprise. Simplifi is designed to complement — not replace — your accounting system: it handles event budget control upstream, and reconciled data can be exported or synced to your accounting system at close.
Does Simplifi support SSO?

SSO (SAML 2.0) is available on Enterprise. It supports major identity providers including Okta, Azure AD, and Google Workspace. Setup is handled during Enterprise onboarding with assistance from our team.
How is data secured?

Simplifi is built and hosted on Amazon Web Services (AWS) in U.S. regions, leveraging one of the most secure and widely trusted cloud infrastructures globally.

Your data is protected through:
  • Enterprise-grade infrastructure security managed by AWS, including physical data center protection and network isolation
  • Encryption in transit and at rest using industry-standard protocols
  • Access controls and authentication to ensure only authorized users can access your data
  • Continuous monitoring and threat detection powered by AWS security services

Where is data hosted?

Data is hosted on AWS infrastructure in the United States. Enterprise customers with data residency requirements can request EU hosting. We are GDPR-compliant for customers with European data subjects.
Does Simplifi have an API?
+
A REST API is available on Enterprise for custom integrations and data workflows. API documentation and access credentials are provided as part of Enterprise onboarding. If you have a specific integration need, contact us to discuss feasibility before committing.
